1. Who we are
Zodiactech Software & IT Services Pvt. Ltd. (“Zodiac Tech Soft”, “we”, “us” or “our”) operates this website and provides software, digital, creative, immersive, event and maintenance services. Our headquarters is at Samadhi Ward, Near Govind Swami Temple, Chandrapur, Maharashtra.
For the personal information described in this policy, we act as the entity responsible for deciding how it is used, unless a separate written agreement says otherwise. Our contact details are in section 14.
2. Scope of this policy
This policy applies to personal information collected through this website, including the enquiry form, email, phone and WhatsApp contact, and to personal information we handle in the course of providing services. It does not apply to third-party websites or services that have their own privacy policies.
3. Information we collect
We try to collect only what we need. Depending on how you interact with us, this may include:
- Enquiry details: your name, organisation, email address, phone or WhatsApp number, the service you select and the message you send.
- Correspondence: information you include in emails, calls, messages or project documents.
- Technical information: standard server logs such as IP address, browser type, device type, requested pages, referring page and timestamps, generated when you visit the website.
- Engagement information: where we provide services, contact details, approvals, project communications, billing information and records of work performed.
We do not ask for payment card details through this website. We do not intentionally collect sensitive personal information through the enquiry form; please do not include it in your message unless it is necessary for your enquiry.
4. How we use information
- To respond to enquiries and provide information about our services.
- To prepare proposals, scope work, deliver services and manage client relationships.
- To operate, maintain and secure the website and prevent spam, abuse and fraudulent submissions.
- To maintain business and accounting records and meet legal obligations.
- To improve our services and understand which pages and capabilities are useful, using aggregated information where possible.
- To send service-related updates or, where permitted or with your consent, occasional communications relevant to your enquiry. You can ask us to stop at any time.
We do not sell personal information. We do not use enquiry details to build unrelated mailing lists or to resell to third parties.
5. Lawful bases
Where a legal basis is required, we rely on one or more of the following: your consent (for example when you submit the enquiry form and agree to be contacted); taking steps at your request before entering a contract, and performing a contract with you; our legitimate interests in responding to enquiries, running and securing our business, and improving our services; and compliance with legal obligations.
Where you have given consent, you may withdraw it at any time. Withdrawal does not affect processing that took place before withdrawal, or processing based on another lawful basis.
6. Cookies and similar technology
This website uses an essential session cookie to keep the enquiry form secure and to remember a submitted form state. It is used to protect against cross-site request forgery and abuse. It does not track you across other websites.
We do not currently use advertising cookies, cross-site tracking pixels or third-party analytics on this website. If that changes, we will update this policy and, where required, ask for consent before non-essential cookies are set. You can control or delete cookies through your browser settings; blocking the essential session cookie may prevent the enquiry form from working correctly.
Links to WhatsApp, Facebook or Instagram are ordinary links. We do not embed those platforms on this website, but opening a link takes you to a service governed by its own privacy policy.
7. When we share information
We may share personal information with:
- service providers that help us run the website and business, such as hosting, email, IT support and accounting providers;
- professional advisers, where necessary for legal, tax or accounting advice;
- government authorities or other parties where required by law, court order or a valid legal request, or to protect our rights and safety; and
- a successor organisation in connection with a merger, acquisition or transfer of the business, subject to appropriate confidentiality.
Service providers receive only the information they need to perform their function and are expected to protect it. Third-party platforms such as Google, Meta, WhatsApp or hosting providers are governed by their own terms and privacy policies. We do not sell personal information.
8. Storage, retention and security
We retain personal information for as long as needed for the purpose for which it was collected and for legitimate business records, then delete or anonymise it unless a longer period is required or permitted by law. Enquiry records are generally retained while the enquiry is active and for a reasonable period afterwards so we can handle follow-ups and maintain records.
We use reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse or alteration. No method of transmission over the internet or electronic storage is completely secure, so we cannot promise absolute security. If a security incident affects personal information, we will take appropriate steps and notify the relevant parties where required by law.
9. Your rights and choices
Depending on the law that applies to you, you may have the right to:
- request access to the personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to delete information or to stop or limit certain processing;
- withdraw consent where processing is based on consent;
- object to processing based on legitimate interests; and
- make a complaint to a data-protection authority.
To make a request, contact us using the details in section 14. We may need to verify your identity before acting. We will respond within the timeframe required by applicable law. If data-protection law in your jurisdiction gives you additional rights, we will honour them where applicable.
In India, the Digital Personal Data Protection Act, 2023 and the rules made under it may apply where they are in force. Where applicable, you may also complain to the Data Protection Board of India. Nothing in this policy limits a right you have under mandatory law.
10. Children
Our website and services are directed at organisations and adults. We do not knowingly collect personal information from children. If you believe a child has provided personal information to us, please contact us and we will take reasonable steps to delete it.
11. International transfers
Our hosting, email and other service providers may process information in India or in other countries. Where information is transferred internationally, we take reasonable steps to ensure it receives an appropriate level of protection as required by applicable law, and to use relevant contractual safeguards where necessary.
12. Third-party links
This website contains links to third-party websites and services, including WhatsApp, Facebook and Instagram. We are not responsible for their content, security or privacy practices. Please read their privacy policies before sharing information with them.
13. Changes to this policy
We may update this policy to reflect changes in our practices, services or legal requirements. The updated version will be published on this page with a new “last updated” date. If a change is significant, we will take reasonable steps to bring it to your attention where appropriate.
